MutantCon 2026 Policies

Badge Purchase Terms & Conditions

1. Agreement to Terms

By purchasing, accepting, holding, or using a badge/ticket for MutantCon 2026 (the “Event”), the purchaser and badge/ticket holder (“holder”) agrees to be bound by these Terms and Conditions and all official MutantCon Event Policies, including the Code of Conduct.

2. Revocable License

Each badge constitutes a revocable personal license granting admission only to designated event spaces at the Sunriver Resort during scheduled hours. MutantCon event management (“Management”) reserves the right, without refund of any purchase price, to refuse admission to or eject any individual whose conduct fails to comply with Event Policies, disrupts operations, or poses a hazard to other guests or property.

3. Refunds, Transfers, and Chargebacks

●     All Sales Final: Badges, vendor spaces, and add-on purchases are strictly non-refundable under any circumstances.

●     Transfers: Badges may not be transferred directly through the ticketing platform. To request a badge transfer, the original purchaser must contact info@mutantcon.com with the recipient's full legal name and contact details. Transfers are granted at the sole discretion of event organizers and must be submitted at least 48 hours prior to the event.

●     Resale: Commercial resale, unauthorized transfer, or scalping of badges is strictly prohibited and results in immediate cancellation without refund.

●     Disputes: By completing a purchase, the purchaser waives all rights to initiate credit card chargebacks or payment disputes for completed badge purchases.

 4. Assumption of Risk

The Holder voluntarily assumes all risks, hazards, and dangers arising from or relating to attendance at the Event, including but not limited to physical injury, illness, exposure to communicable diseases, theft, loss, or property damage, whether occurring prior to, during, or after the Event.

5. Release of Liability and Indeminification

The Holder forever releases, waives, and discharges MutantCon, its organizers, coordinators, volunteers, agents, and Sunriver Resort (along with their respective owners, directors, officers, and employees), from any and all liability, claims, demands, or causes of action arising out of negligence, personal injury, illness, or property damage occurring at the Event. The Holder agrees to defend, indemnify, and hold harmless the released parties from any liabilities or costs arising from the Holder’s acts or omissions.

6. Event Cancellation and Force Majeure

Management reserves the right to alter schedules, guest lineups, game sessions, or table assignments at its discretion. If the Event is delayed, curtailed, relocated, or canceled due to extreme weather, facility unavailability, utility failures, public health emergencies, government actions, or any unforeseen cause beyond Management's reasonable control, Management shall not be liable for any travel, lodging, or consequential costs incurred by the Holder. In such circumstances, badge rollover or credit policies will be determined at Management's sole discretion.

7. Badges and Verification

Badges must be visibly displayed on the Holder’s person at all times within event areas. Lost, misplaced, or stolen badges will not be replaced free of charge; a replacement fee up to the full purchase price may apply. Badges are valid only when accompanied by valid government-issued photo identification matching registration records.

8. Compliance with Facility and Applicable Law

The Holder agrees to comply with all rules and regulations established by Sunriver Resort, as well as applicable municipal, county, and state laws. These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Oregon, without regard to conflict of law principles.

Media Consent and Press Policy

1. Official Event Photography and Video

MutantCon staff and credentialed media take photographs and record video throughout the event for documentation, recap, and promotional use. By attending MutantCon, attendees grant event organizers the irrevocable right to capture and use their likeness, voice, and appearance in general crowd photography, video recaps, and promotional materials across web and social media channels without compensation.

2. Digital Takedown Requests

We respect attendee privacy. If an attendee appears prominently in an official photograph or video published by MutantCon and wishes to have it removed, they may email info@mutantcon.com with a link or screenshot of the image. The media team will review and remove or blur the photo promptly.

3. Minors and Protected Content

MutantCon will not intentionally publish standalone, identifiable promotional photos of attendees displaying the “Young Mutant” badge sticker without express permission from a parent or legal guardian.

4. Commercial Media, Streaming, and Press

●     Personal Use: Attendees are welcome to take personal photos and short video clips for personal social accounts, provided they have obtained explicit consent from the individuals being photographed or recorded.

●     Live Streaming Prohibited: Continuous live streaming (e.g., Twitch, YouTube Live, Kick, TikTok Live) is prohibited in all event spaces without prior written credentialing from MutantCon organizers. Roaming broadcasts and uncoordinated live streams disrupt attendee privacy and gameplay focus.

●     Table Privacy: External media or approved creators may not record a tabletop session without unanimous, advance consent from the Host and all seated players. Any participant may revoke this consent at any point during play.

●     Commercial Productions: Podcasting setups, commercial video gear, lights, or formal interview stations are permitted only with prior organizer approval and an assigned location.

Policies and Code of Conduct

Section 1: General Code of Conduct

1.1 The “Mutant” Mandate

MutantCon is a community-focused event. We are here to celebrate homebrew creativity and narrative gaming. To ensure a safe and welcoming environment for everyone, all attendees, GMs, Volunteers, Staff, and Vendors must adhere to the following:

1.2 Expected Behavior

-       Be Excellent to Each Other: Respect personal boundaries. Harassment of any kind - including, but not limited to physical assault, battery, deliberate intimidation, stalking, or unwelcome physical contact - is strictly prohibited.

-       Inclusivity is Mandatory: We do not tolerate discrimination or hate speech based on gender identity, sexual orientation, disability, physical appearance, race, age, or religion.

-       The “Consent” Rule: Always ask for permission before taking a photo or video of another attendee or their gaming setup. “No” means “No” and “Maybe” means “No”.

-       Resort Etiquette: We are guests of Sunriver Resort. Please be respectful of non-convention hotel guests and resort property.

1.3 Staff and Security Authority

-       Follow the Rules: Attendees must follow the directions of all MutantCon Staff (identifiable by their Staff Badges/Apparel). Failure to comply with staff requests regarding safety or conduct is grounds for immediate badge revocation.

-       Eviction Policy: If your badge is revoked for a Code of Conduct violation, you must leave the event space immediately. No refunds will be issued for revoked badges.

Section 2: Age Verification

2.1 Identification Requirements

All attendees must present a valid, government-issued photo ID at the Registration Desk to collect their badge. This ensures accurate record-keeping and allows us to verify age for specialized gaming content.

2.2 The “Young Mutant” Sticker System

MutantCon is an all-ages event, but we recognize that some narrative games contain themes intended for mature audiences.

-       Adults (18+): Attendees 18 and older will receive a standard attendee badge.

-       Minors (Under 18): Attendees under the age of 18 will have a high-visibility “Young Mutant” sticker applied to their badge at registration.

-       Tampering: Removal or alteration of an age-verification sticker is grounds for immediate badge revocation without refund.

2.3 Game Content Ratings

Every Game Leader (GM) is required to label their game session with one of the following ratings on the Tabletop Events (TTE) schedule:

-       Family Friendly? Appropriate for all ages. No graphic violence or mature language.

-       Teen (13+): May contain fantasy violence or mild suggestive themes.

-       Mature (18+): May contain graphic descriptions, horror elements, or complex adult themes.

2.4 Mature Table Access

-       Verification: GMs running Mature (18+) games are required to check badges at the start of the session.

-       Restriction: Any attendee with a “Young Mutant” sticker is strictly prohibited from participating in or spectating at an 18+ designated table, regardless parental consent.

Section 3: Weapons and Prop Policy

3.1 Zero Tolerance Weapon Policy

MutantCon is a strictly weapon-free event. For the safety of our attendees and Sunriver resort guests, no functional weapons; or items that could be perceived as functional weapons; are permitted on the premises.

-       No Metal Weaponry: All swords, knives, daggers, or metallic alloys (steel, bronze, iron, etc.) are strictly prohibited. This includes decorative, blunt, or sheathed "costume" blades. If it is metal, it is not allowed.

-       No Firearm Props: Any prop that can be mistaken for a firearm from a distance is strictly prohibited.

-       No Projectiles: Crossbows, bows, and slingshots, "Nerf," airsoft, or any other projectile launchers are strictly prohibited.

-       No Exceptions: Items deemed a safety risk by Staff must be removed from the event space immediately. Failure to comply will result in badge revocation without a refund.

3.2 Oversized Props and Aisle Safety

To ensure a safe environment, and maintain ADA-compliant aisles for all attendees:

-       No Oversized Props: Costumes or props may not exceed 3 feet in width, or 7 feet in height. If your costume prevents the safe flow of traffic, you will be asked to remove the oversized elements before entering the floor.

-       No Obstructions: Props, capes, or banners may not be left on the floor or leaned against walls. Anything creating a tripping hazard must be removed from the event space.

-       No Vision Impairing Masks: Full-head masks or helmets must be removable. For safety, masks must be removed while navigating stairs, elevators or resort hallways.

-       No Exceptions: MutantCon Staff reserves the right to deny entry to any costume or prop that poses a logistical or safety risk to other attendees.

Section 4: Table Authority and Gameplay

4.1 The Game Host’s Authority

The Hostis the final authority at their assigned table. To ensure a high-quality experience for all attendees, the following rules apply:

-       Right to Dismiss: Game Leaders have the absolute right to ask a player to leave their table for disruptive behavior, harassment, poor hygiene, or failure to follow the established safety tools of that session.

-       Safety Tools: The use of the safety tools (e.x. X-Cards, Lines, and Veils) is highly encouraged. If a player refuses to respect a safety tool or purposefully crosses a line, it is considered a violation of the Code of Conduct and may result in badge revocation.

-       Staff Intervention: If a Game Leader is uncomfortable dismissing a player, they must immediately signal a MutantCon staff member to facilitate the removal.

4.2 “Looking for Game” (LFG) and Spectating

Because The Great Hall is a high-density gaming environment:

-       No Crowding: Please do not stand in the aisles to spectate a game. If there is not a designated chair available for spectating, you must move along to keep the thoroughfare clear.

-       No Table Jumping: Once a narrative session has begun, do not interrupt the Game Leader (GM) or players unless there is an “Open Seat” sign and the Game Leader has explicitly invited you to join.

-       Consent to Watch: Always as the Game Leader (GM) and players for permission before filming or taking photos of a live game session.
